Institution Registration Walk-in Process

Your Fair Dashboard reflects real-time registrations for both Students and Institutions. From the Institutions tab, you can track all current registered institutions. If an institution arrives at your event and indicates that they registered, but are not listed in the Institution tab, they are not yet registered for your event and should be treated as a walk-in.

From you Institutions tab of your Fair Dashboard, you’ll find a printable Walk-in Registration QR Code for institutions that arrive without registering in advance.

We recommend printing the flyer and keeping it at your representative check-in table. Walk-in representatives can scan the QR code to register and pay on-site before participating in the fair.

Accessing the Walk-in QR Code Flyer

  1. Log in to StriveScan and open your Fair Dashboard.
  2. Select the Institutions tab.
  3. Scroll to Walk-in Registration QR Code for Unregistered Institutions and click Download the QR code.
  4. Print the flyer and keep it available at representative check-in.

When scanned, the QR code takes representatives directly to the registration and payment page. We recommend having walk-ins complete registration and payment before entering the fair.

Fair Capacity and Registration Closed

If your fair has a capacity set for attending institutions, or if your registration window is closed, walk-in registration bypasses your fair’s capacity limit and close date.

Example:  Your fair has a capacity of 100 institutions and all 100 spots are filled. You can still accept a walk-in if you have space to accommodate them. The walk-in can register and pay through the QR code even though regular registration shows the fair as full.

Example:  Your fair registration closed on August 31, but a representative reaches out to you directly to still register for your fair, and you'd like to accomodate them. The walk-in form can be used to also accomodate this representative to register and pay through the QR code even though the registration deadline has passed.

You always have the discretion to accept or decline a walk-in.

If your fair reaches capacity before the event and you want to accommodate an additional institution, you can also share the registration link from the walk-in flyer directly with them. This allows them to register without changing your fair’s capacity in StriveScan.

StriveScan is unable to change your fair capacity to accommodate additional instititions, but you can serve them directly by providing the link in the flyer.
