Manage Assigned Representatives

Travel plans change, territories are adjusted, or life happens. We get it!

You can easily update your Attending Representative(s) directly from your StriveScan account to ensure your Fair Host has the most accurate information, for fairs where StriveScan powers the Institution Registration.*

*For select fairs in Spring 2026, and for all Fairs in Fall 2026

From the Confirmation Email

When you register for a fair via StriveScan, you’ll receive a confirmation email listing each fair.

  1. Click the Fair Name in the email.
  2. You’ll be taken to the Upcoming Fairs section of your StriveScan account.
  3. From there, you can update the assigned representative.

From the Upcoming Fairs Page

  1. Log into your StriveScan account.
  2. Navigate to Upcoming Fairs.
  3. Search for the fair and update the assigned representative as needed.

Pro-tip: This is also where you can add your Internal Event ID if you use Automatic Exports via SFTP.

FAQs

Why should I manage the assigned representatives?

Hosts appreciate having an up-to-date list of attending representatives to communicate details like parking, meals, cancelations, and more. We recommend keeping the assigned representative updated to avoid missing important communication about the event.

What if the representative is not on the list of available representatives?

If someone doesn’t appear in the dropdown, they either:

  • Don’t have a StriveScan account, or
  • Aren’t currently a member of your StriveScan team

Once they create an account and/or are added to your organization’s StriveScan team, they can be assigned to a fair.

Do I have to do this for every fair?

When StriveScan manages Institution Registration for an event, we default the Assigned Representative to the person who submitted the registration form.

  • If that person is attending, no action is needed.
  • If someone else is attending, a Standard or Admin user on your team can update the assignment.

Can I do this from my StriveScan app?

You can access app.strivescan.com on mobile to make updates on the go.

We’re also working toward allowing assignments to be made directly within the StriveScan mobile app in the future.

What if the Assigned Representative isn’t the one who actually attends the fair?

No problem! We know staffing can shift last minute. The Assigned Representative would receive host and StriveScan communication, but as long as the staff member who attends is connected to the same StriveScan team, they will have access to scanning.

Does the Assigned Representative receive communication when I assign them to a fair?

StriveScan does not send communication to an Assigned Representative when they are connected to an event.
